Seeking a highly organized and detail-oriented Experienced Manager to oversee the daily operations of the office. The ideal candidate will be responsible for ensuring that the office runs smoothly and efficiently, providing staff support, and managing various office functions. This role requires strong leadership skills, excellent communication abilities, and a proactive approach to problem-solving.
Note: With over 350 employees in multiple states, we are not considering applicants who are or have been personal assistants, administrative assistants, executive assistants, project managers or anyone whose experience does not align with the list of job responsibilities outlined below. This position is for those who have managed complex office environments .
Responsibilities Office Logistics Management
● Maintain an organized office environment
● Coordinate supplies
● Support operational needs
Employee Onboarding & HR Support
● Assist employees with new hire paperwork
● Conduct orientation
● Ensure compliance with airport regulations and workplace HR matters
Guest Relations Communication
● Handle customer inquiries
● Address feedback and complaints
● Ensure a positive experience
Scheduling & Workforce Coordination
● Assist and create employee schedules for a team of over 250
● Manage shift changes and timekeeping
Filing & Record-Keeping
● Maintain accurate and organized records for employees, vendors, and compliance documents
Payroll Processing
● Assist with payroll submissions
General Office Operations
● Manage office operations, including scheduling and calendar management for team members
● Maintain financial records for the office
● Coordinate office supplies procurement and inventory management
● Implement office management best practices to enhance productivity and efficiency
● Assist in schedule management for meetings, events, and appointments
Skills
Calendar Management
Proficient in effectively organizing schedules
Budgeting Skills
Strong ability to manage financial resources effectively
Office Administration
Experience in general office administration and management practices
Payroll Systems
Knowledge of payroll systems and processes is preferred
Vendor Management
Familiarity with techniques to maintain productive relationships
Phone Etiquette
Excellent for professional communication with clients and stakeholders
Organizational Skills
Strong attention to detail for file management and documentation
Team Collaboration
Ability to work collaboratively within a team environment
Multitasking
Ability to manage multiple tasks efficiently
Human Resources Generalist
Familiar with workplace HR compliance
This position requires the ability to receive a workplace badge at an Airport. A 10 year FBI back Ground Check will be performed.
