Key Responsibilities:
- Manage the full event planning process from initial inquiry to event execution, ensuring client expectations are met and exceeded.
- Work closely with clients to understand their event vision, needs, and objectives, and provide tailored recommendations for catering, decor, and event logistics.
- Coordinate all event details, including scheduling, staffing, room setup, catering, and AV needs, ensuring seamless execution.
- Develop and implement event proposals, contracts, and pricing for clients, ensuring profitability while maintaining the highest level of customer satisfaction.
- Cultivate and maintain strong relationships with clients, vendors, and internal teams, providing ongoing communication and support before, during, and after events.
- Manage event logistics and timelines, ensuring everything runs smoothly on the day of the event.
- Drive sales through proactive outreach, relationship-building, and identifying new business opportunities to grow event revenue.
- Collaborate with the marketing team to create promotional materials and campaigns to attract new clients and increase event bookings.
- Track and report on event sales performance, providing insights and recommendations for continued growth and success.
- Handle post-event follow-ups, gathering feedback and ensuring client satisfaction to encourage repeat business and referrals.
- Maintain accurate and up-to-date records of event bookings, contracts, and client interactions in the CRM system.
Qualifications:
- Minimum of 3 years of event planning and sales experience, preferably in a hospitality or restaurant setting.
- Strong sales skills with the ability to identify opportunities and close business deals.
- Exceptional organizational skills, with the ability to handle multiple events and projects simultaneously.
- Excellent interpersonal and communication skills, both written and verbal, with the ability to build rapport and manage client relationships.
- Ability to work under pressure and manage tight timelines while maintaining attention to detail.
- Creative problem-solving skills with a focus on delivering unique and memorable experiences for clients.
- Proficiency in Microsoft Office, CRM software, and event planning tools.
- Flexibility to work evenings, weekends, and holidays as needed, based on event schedules.
- A strong passion for event planning and a keen eye for detail.
