Catering Event and Conference Planning Manager


Location: North Lake Tahoe, CA

Salary: $72K - $75K plus Bonus Potential


Job Overview

Responsible for managing all aspects of Catering Event and Conference Planning in alignment with hotel standards. This role involves coordinating event details and menus for clients, maintaining budgeted revenues through business solicitation, and managing expenditures. The primary focus will be on servicing catering and group events.


Essential Responsibilities

  • Utilize property management systems to input and access information as needed.
  • Ensure staff are well-versed in banquet service standards to better sell the facilities.
  • Review staff space block requests to ensure optimal use, meeting client needs, and minimizing labor costs.
  • Maintain organized and up-to-date client files with all required information.
  • Respond to client calls promptly, ensuring all calls are answered within 3 rings with proper greetings and telephone etiquette.
  • Adhere to departmental policies, service procedures, and standards. Keep documentation accurate and lead team meetings quarterly.
  • Maintain positive guest relations at all times.


Event and Budget Coordination

  • Review banquet sales daily and resolve discrepancies with Accounting. Track revenue against budgets.
  • Audit banquet checks for prior events to confirm charge accuracy and ensure guest signatures are present. Resolve discrepancies.
  • Regularly update and follow the departmental policies covering booking functions, charges, and general procedures, including the following:
  • Room capacities, set-ups, block policies (definite/tentative bookings), and menus/pricing.
  • Payment, cancellation, and guarantee policies.
  • Corkage/service charges, miscellaneous pricing (floral, entertainment, etc.), and other fees.
  • Shipping/receiving policies and lost and found procedures.


Client Interaction

  • Reply to client emails within a 24-hour window.
  • Meet with clients to finalize event details, provide property tours, and highlight services available.
  • Suggest menus tailored to clients’ preferences while maximizing revenue opportunities.
  • Coordinate introductions between clients and the Executive Chef when planning special requests or menus.


Event Management

  • Prepare and distribute detailed Banquet Event Orders (BEOs) for definite functions, ensuring client signatures and accurate internal communication.
  • Supervise event set-up, ensuring compliance with client requirements and hotel standards. Address deficiencies proactively.
  • Attend daily BEO review meetings and actively resolve any issues.
  • Conduct post-event follow-ups with clients to ensure satisfaction and encourage re-bookings.


Additional Responsibilities

  • Monitor staff grooming and performance for effective service.
  • Oversee billing/payment processes in accordance with Accounting standards.
  • Actively participate in hotel meetings, menu and wine tastings, and foster a collaborative work environment.
  • Stay current with market trends and competitive landscapes.


Required Qualifications

  • Education: College degree preferred.
  • Experience:
  • Previous roles as a Catering Sales Manager, Event Planner, or Catering/Conference Services Manager.
  • Experience within a 4-5 Diamond/Star hotel is ideal.
  • Skills:
  • Proficiency in English (verbal and non-verbal).
  • Experience with Envision software is a plus.


Physical Requirements

  • Must be able to walk, talk, see, and hear regularly.
  • Ability to sit for up to 90% of an 8-hour shift, carry or lift up to 20 lbs., and use close and peripheral vision with depth perception.
  • Working conditions include an indoor environment with low noise levels.
