Executive Administrative & Operations Support Specialist


A growing multi-unit restaurant group is seeking a highly organized, polished, and detail-driven Executive Administrative & Operations Support Specialist to support senior leadership and keep the corporate office running smoothly.

Compensation: $60,000 annually

Schedule: Hybrid work schedule

Status: Full-Time


Position Overview

The Executive Administrative & Operations Support Specialist will provide direct support to executive leadership while also serving as a central point of contact for office organization, field operations support, guest feedback, marketing coordination, vendor communication, and new restaurant opening projects.

This role requires strong confidentiality, excellent follow-through, clear communication, and the ability to manage many moving pieces at once.


Key Responsibilities

  • Support executive leadership with administrative needs, communication, scheduling, meeting preparation, reporting, and special projects.
  • Coordinate guest feedback processes, including responding to online reviews, tracking guest concerns, routing issues to the appropriate field leaders, and ensuring timely follow-up.
  • Assist with operations support projects, including team rosters, weekly schedules, meeting coordination, reporting, and field communication.
  • Help manage vendor relationships and project coordination for print materials, signage, branded supplies, uniforms, business cards, and restaurant-level support needs.
  • Support marketing initiatives, including campaigns, photoshoots, guest feedback tracking, promotional materials, and product-related projects.
  • Assist with new restaurant opening coordination, including permits, supply lists, vendor setup, mail delivery, signage, preview events, and opening support materials.
  • Manage gift card and guest recovery programs, including inventory, reporting, distribution, transaction research, and refund coordination.
  • Serve as a point of contact for office visitors, phone calls, supplies, meeting lunches, maintenance requests, building management, and general office organization.
  • Support fundraising, donation, and community partnership requests as needed.
  • Partner with training, operations, marketing, and executive teams on special projects and ongoing administrative needs.

Qualifications

  • 1–4 years of administrative, executive support, office coordination, hospitality, or restaurant support experience preferred.
  • Restaurant, hospitality, retail, or multi-unit service industry experience is a plus.
  • Strong communication skills, both written and verbal.
  • Excellent organization, prioritization, follow-up, and follow-through.
  • Ability to handle confidential information with professionalism and discretion.
  • Comfortable managing high-volume emails, multiple deadlines, guest concerns, and urgent requests.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Experience with Photoshop, Access, or similar tools is a plus.
  • Ability to work independently while staying highly connected to leadership, vendors, and field teams.
