Job Description

Executive Assistant to Senior Leadership

Boca Raton, Florida | Country Club

You will act as the operational backbone for senior leadership, ensuring priorities stay aligned and nothing falls through.

  • Own and manage complex executive calendars with precision and intent
  • Control the flow of communication across leadership, internal teams, and external stakeholders
  • Prepare executives for meetings with clear, organized materials and context
  • Draft, edit, and refine high level written communication suitable for executive and board audiences
  • Track priorities, deadlines, and ongoing initiatives to ensure consistent follow through
  • Coordinate travel, logistics, and scheduling with a polished, service driven approach
  • Support leadership level meetings including preparation, documentation, and execution of follow ups
  • Maintain organized systems for documents, reporting, and information flow
  • Act as a direct liaison between leadership and high expectation individuals

This is not a training ground role. It requires someone who can step in and operate with confidence early.

  • Strong writing ability with the ability to produce polished, error free communication
  • High attention to detail, consistently verifying information before it leaves your hands
  • A proactive mindset, anticipating needs rather than reacting to them
  • Comfort working in a low structure, hands off environment
  • Advanced proficiency with Microsoft Outlook, Word, and Excel
  • Experience supporting senior leadership such as a CEO, COO, or equivalent
  • Professional maturity and sound judgment, especially around confidential matters
  • Strong organizational ability with the capacity to manage multiple priorities at once
  • Confidence interacting with individuals who expect a high level of service and professionalism

These expectations are directly aligned with how success in this role will be evaluated.

WHAT SUCCESS LOOKS LIKE

  • Leadership is more efficient because you are in place
  • Communication is clear, timely, and well managed
  • Meetings are prepared, purposeful, and followed through
  • Priorities stay organized even when the pace increases
  • You become a trusted extension of leadership, not just a support function

BACKGROUND

  • Prior experience supporting senior leadership in a professional environment is required
  • Experience in service driven or high expectation environments is helpful but not required
  • A bachelor's degree is preferred, not required

This role offers direct exposure to leadership decision making and day to day operations. For the right person, it creates a path to grow beyond traditional administrative work and into broader operational visibility over time.
